Supervising House Manager/Volunteer Coordinator position North Coast Rep
North Coast Repertory Theatre is currently seeking a Supervising House Manager/Volunteer Coordinator to run and be responsible for their front of house operations, and volunteer program. The ideal candidate is an easy-going team player with customer service, concession management, event management, multi-tasking and problem-solving experience in a fast-paced setting.
Daily management of the North Coast Cafι, lobby, and theater auditorium (house); including maintaining cleanliness of all public areas.
Setting-up and breaking down all public areas before and after performances.
Coordinating and ensuring the smooth operation of the Front of House (FOH) during performances, and in the presence of patrons.
Coordinating activities and maintaining open dialogue with box office staff, stage management, and other appropriate staff.
Ensuring the safety of patrons, volunteers and staff through proper implementation and enforcement of theater statues and emergency procedures.
Generating revenue through food and beverage sales, including reconciling, reporting and depositing nightly.
Preparing nightly reports, including tracking volunteer attendance, deposits, patron activities and feedback.
Reporting any malfunctions and safety concerns pertaining to the lobby and house to the Director of Patron Services, with follow-up as needed.
Maintaining all lobby and cafι displays.
Managing and tracking concessions stock and theater collateral, with the ability to anticipate future needs.
Tracking and ordering supplies for all areas of the theater organization, including administration, box office, cafι and theatre school.
Purchasing off-site supplies and transporting them to North Coast Rep for use.
Stocking cafι storeroom and cupboards, including lifting cases and boxes overhead.
Coordinating cafι needs and set-up for special events, group receptions, and variety nights.
Preparing and loading special event items through concessions as needed.
Cleaning fixtures, display cases, shelving units, and other FOH items as needed.
Acting as liaison with hired cleaning staff when needed.
Running end of production reports for Administration.
Coordinating FOH staff through hiring, training, evaluation, and delegation of duties.
Scheduling of all FOH staff to ensure management coverage for all performances.
Tracking volunteer activities using Theater Management ticketing software.
Scheduling of all volunteers needed for mainstage and theatre school performances, variety night shows, special events and off-site functions.
Maintaining and updating all contact information for current and future volunteers.
Maintaining and updating the North Coast Rep volunteer handbook as need arises.
Conducting orientation training sessions bi-annually, and re-training/customer service meetings as needed with volunteer staff.
Daily monitoring of email correspondence, including replying to all emails received in a timely manner.
Scheduling and coordinating with Volunteer Team Captains, assisting in filling positions as needed.
Evaluating and maintaining volunteer standards.
Nightly refresh training and trouble-shooting for volunteers in individual positions as needed.
Planning, preparing, setting up and hosting Artistic Director Open Houses and Holiday Event parties.
Maintaining guest lists for invitational performances.
Attending and participating in all-staff required events, including the North Coast Rep Gala.
Attending bi-monthly staff meetings.
Obtaining training certifications through off-site classes as needed.
This candidate will:
Have practical knowledge of a live theatrical environment.
Possess experience working directly with volunteers, artists, and the public.
Have excellent interpersonal skills and an even temperament.
Exhibit experience to supervise effectively; including the mediation of problems with patrons, volunteers and staff.
Demonstrate strong organizational and management skills in a fast-paced environment with many disruptions.
Have experience in Microsoft Office programs, web email services, and online coordination programs including Evite and Sign-Up Genius.
Be able to sustain physical activity including remaining on feet for extended periods of time, climbing stairs, pushing carts, and lifting up to 50 pounds.
Must be 21 years of age, possess a valid CA drivers license, and reliable transportation.
CPR/AED Certification preferred.
Bachelor Degree preferred.
Key holder experience is a plus.
Food handlers card preferred, but not required.
