|
Responsible for the day to day accounting and finance operations of agency including but not limited to accounts receivable, accounts payable, payroll processing, general ledger, journal entries, budgeting and bank reconciliation.
DUTIES & RESPONSIBILITIES:
Process and book receivables for contracts and grant reimbursements
Process government and agency claim forms accurately and in a timely manner
Prepare work papers for agency or government contract audits mini-audits and/or review
Process and book payables for employee reimbursements and agency expense
Ability to track multiple accounts
Oversee all payroll preparation functions including time card processing, vacation/sick accrual, garnishments, 403b contributions, and other salary deductions.
Prepare and make company deposits
Reconcile all accounts
Monitor cash-flow, alert management of short falls or potential short falls
Monitor cash-flow for payroll and other expenses
Maintain communication with agencies for receipt and/or payment of claim form/receivables Make calls to collect receivables
Review contractual agreements with/from vendors for savings and/or potential abuse
Complete annual filing requirements with local agencies
Prepare or revise annual agency contract budgets
Maintain bank and outside accounting firm liaison
Assist in preparation of monthly/yearly Board and department budget reports and agency financial statements. Including: P&Ls; Balance Sheet, Budget, Proformas, etc.
Coordinate end of year tax preparation for CPA
Assist CPA with annual audit
Handle correspondence and matters of highly confidential nature relating to payroll, contracts, and grants
Support senior management staff with fiscal administrative functions
Other duties as required or assigned.

| Qualifications |

|
Education:
BA/AA in Business or related field or equivalent and 2-5 years accounting or bookkeeping in non-profit preferred
Knowledge:
Working knowledge of payroll to include workers compensation reporting and state labor law requirements. Demonstrated experience in payroll policies and procedures and timekeeping practices in accordance by state and federal laws. Knowledge of business/financial issues for developing income generating program in facility rental and other.
Abilities:
Ability to effectively compose reports and correspondence, with attention to grammar, punctuation, and spelling accuracy. Ability to work under pressure in an environment subject to frequently changing priorities and ability to handle multiple tasks. Ability to work independently with minimal supervision. Ability to work with others in a collaborative manner and willingness to share strengths and learn new skills. Ability to be culturally sensitive and respect diversity
Skills:
Demonstrated proficiency in MS Office and QuickBooks. Ability to operate all office equipment
Effective oral/written communication skills to communicate and interact with diverse personalities/ groups/ supervisors. Demonstrated strong executive level administrative skills including ability to work independently, use discretion/judgment with sensitive issues/confidential information. Strong problem solving and attention to detail. Excellent customer services skills.
Other:
Valid California Drivers License, car, proof of insurance and willing to use it on the job preferred.
Physical Demands:
Some carrying and lifting up to 30 pounds
70% time spent sitting at the computer or on the phone
Some local traveling required
