Executive Assistant to CEO, COO and Board Liaison

 Job Description        

Position Type: Full-time, Exempt Pay Rate: $65,000 - $70,000 Benefits: Benefits for this position include a 401(k) plan, medical, dental and vision coverage, flexible spending accounts, life insurance and generous holiday benefits Position Overview Under general supervision, the Executive Assistant and Board Liaison provides comprehensive administrative support to the Chief Executive Officer, Chief Operations Officer and Board of Directors. Works closely with the VP of People and Culture to execute on the CEO and COO’s internal communication strategy and plan agency-wide staff events. Carries out duties with the highest level of professionalism, confidentiality and discretion. Represents the CEO, COO and Jewish Family Services with utmost professionalism. Responsibilities: • Handles all day-to-day responsibilities for the CEO and COO; this includes and is not limited to scheduling and coordinating meetings, receiving visitors, answering phone calls and other general administrative functions • Calendars and coordinates all meetings and keeps CEO and COO informed of any changes; produce agendas, prepare and review documents and order food/beverages, where applicable • Builds and maintains strong working relationships with the CEO, COO, Board Chair, and select donors • Manages expenses, including organizing receipts and submitting for reimbursement • Coordinates travel, including but not limited to conferences, meetings, and special events • Supports CEO and CEO requests for personal appointments, as needed Board of Directors Liaison • Interfaces with and provides general support to the Board of Directors • Creates and maintains the Board of Directors and Board committees’ annual calendars • Distributes all Board and Board committee meeting reminders, agendas, reports, special mailings and other necessary documents • Attends and takes minutes at all Board and Board Committee meetings; provides minutes and recap to all appropriate people • Maintains the official Board of Director’s records and board portal • Prepares Board binders and organize logistics for annual retreat People and Culture Support • Maintains the CEO and COO’s internal communication calendar for all agency-wide emails, blogs and staff speaking events • Plans logistical details for staff retreats and parties, including sourcing venues and caterers, purchasing supplies and assisting with planning the agenda • Coordinates quarterly staff lunches and staff events, including ordering catering and working closely with VP of People and Culture to plan the agenda

 

 Qualifications        

Position Requirements • Bachelor’s degree field, preferred • 5+ years of experience in a high-level administrative or executive assistant capacity, required • Experience working with a Board of Directors/Governing Board, required • Experience coordinating large scale events for 150-250 people • Experience with billing, reconciliation and basic financial functions and documentation Skills/Abilities that are a Must-Have • Ability to prioritize, work efficiently and meet deadlines • Detail-oriented with excellent planning skills • Ability to think several steps ahead and anticipate needs and challenges • Works independently with minimum supervision • Demonstrated ability to maintain confidentiality and discretion • Excellent oral and written communication skills, including ability to write and edit memos, reports, e-mails, agendas, minutes, etc. • Ability to build working relationships with various personalities in a variety of settings • Must be proactive in meeting and exceeding
